E-Sign Templates

Tired of reconfiguring the same lease for e-signing every time? You’re not alone; many landlords say e-signing is one of the most valuable Premium features we offer. But when you have a custom lease agreement or other recurring documents, setting up signatures and fields every time can get tedious, especially for long documents or landlords managing multiple units. That’s where E-sign Templates come in. With templates, you can configure your documents once and reuse them as often as you need. Even your team members can access and use them, saving time, reducing errors, and streamlining your leasing process.

What Are Templates?

Templates are reusable versions of your lease or form documents that have signer roles, fields, and signature placements already set.

Creating a Template

You can create a template from one or multiple uploaded documents. Here’s how:

  1. Go to: Docs & E-Sign > Templates

  2. Click: Create Template

  3. Upload your document(s)

    • Upload one or multiple documents.

    • Arrange them in the order you'd like them to appear, and we'll merge them into a single file for signing.

    • Supported file types: .csv, .docx, .jpg, .png, .pdf, .txt, .xlsx, .zip

    • File size limit: 20MB per file

🚨 Creating templates is free, but only Premium landlords can send them for signature.

Add template details

  • Title: Required

  • Add a Category (optional)

  • Include a Default Message to Signers. This is optional (you can customize this per signature request later)

Add Signer Roles

Decide who may need to sign this template with signer roles. For example, you might add roles for renters or landlords for a lease agreement template.

Tip: Create all potential signer roles upfront. For example, if up to 4 renters can sign the document, add 4 renter roles. You don't have to use them all when sending the template out for signature.

The different roles you can select from:

  • Renter

  • Co-Signer

  • Landlord

  • Signer

  • Other (if selected, you can enter their role in the open field that populates)

Add Signature Fields

Add your signature fields by using the drag-and-drop feature, and click Save Template in the lower right corner. If you added multiple roles before this step, each role must have a signature field and a date assigned to it.

Using a Template

To send a signature request using a template:

  1. Go to: Docs & E-Sign > Templates

  2. Find your template and click E-Sign to the right of it.

3. Give the document a nickname (this helps you identify the specific request). And

select which lease needs a document signed.

4. Add Signers by selecting who will be signing the lease. You can search for

signers, or simply click "add new signer" by clicking on the "search by name" f

field. (e.g., John Doe = "Renter 1")

5. Once you've selected the signers and click Continue, the signature fields will be placed where the signer needs to sign, based on the template you created. Upon sending the document, you'll be taken into the lease profile, where you'll see the status of the document! As a reminder, the landlord will always sign last.

Editing or Deleting a Template

  • Navigate to: Docs & E-Sign > Templates

  • Click the three dots next to a template

    • Select Edit Template or Delete
