How to Create Charges

How to create recurring monthly charges or one-time charges for your tenants to pay.

After the initial setup of your payments, you can add monthly or one-time charges by clicking "Create Charge" in either the Payments tab or in the specific Lease Profile* under Payments and following the required steps.

Pro-rated charges can also be created for leases with non-standard dates to ensure accurate billing.

The Lease Profile is your central hub for everything tied to a lease, tenant details, payments, documents, and property info, all in one place!


To Create Charges in the Lease Profile

Go to the Lease Profiles tab and select the profile for which you need to create the charge.

Go to the Payments section of that lease profile, then select "Create Charge"

Select a charge category and enter the amount

Choose the category that best fits your charge:

  • Rent

  • Security Deposit

  • Utility

  • Late Fee

  • NSF

  • Other

Then, enter the amount for the charge.

If you select Rent or Other, you’ll have the option to set the charge as either:

  • Monthly (recurring), or

  • One-time

All other categories are automatically set as one-time charges.

Important to know: One-time charges are automatically sent to the tenant. Monthly charges are posted to the account 15 days before the due date. Tenants will receive email reminders to pay at the following intervals:

  • 6 days before - first email notice sent

  • 3 days before - second reminder email sent

  • Due date - due today email sent

If a payment is not made by the due date, a past due reminder will be sent:

  • 3 days after - past due email sent

  • 5 days after - past due email sent

To handle prorated rent charges accurately for leases with non-standard start and end dates, create separate one-time charges for each prorated period. Ensure to provide clear descriptions and appropriate due dates for each prorated charge.


To Create Charges from the Payments Tab

Click on the Payments tab by clicking Create Charge. This follows the same steps and options as creating a charge from the Tenants tab.


How to identify whether it is a Monthly Charge, or a One Time Charge

Viewing Active Charges vs Inactive Charges

If your tenant didn’t receive a rent reminder this month - or you're trying to locate past monthly charges - it’s possible the payment terms have ended, even if the lease is still marked as active.

To verify this:

  1. Go to the lease in question and click the Payment section of the specific lease.

  2. Click on “View Inactive Charges” to see any past monthly charges that are no longer active.

  3. If needed, you can modify these charges and reactivate them to ensure future rent reminders are sent.

Q: Can I edit or delete charges once they have been made?

Q: Where do I view the monthly charges I have set up?

A: Monthly charges can only be viewed from the payments section of each individual lease profile. To view these, you will want to go to the Leases tab, select the lease profile, go to the "Payments" section of the profile, and from there you will be able to see the associated monthly charges for that lease.

Q: Can I add a credit to a charge?

A: As of August 5, 2025, you can now apply credits directly to a lease. Click here to learn how to use Lease Credits

Q: How do I set up a move-in special with a discounted first month?

A: Create a One-time Rent charge for the discounted amount, with the due date set to the lease start date — this covers month 1 at the discounted rate. Then create a separate Monthly (recurring) Rent charge for the full rent amount, with the due date set to the second month's due date (e.g., if the lease starts June 1, set it to July 1). This way the tenant pays the discounted rate for month 1, and normal rent kicks in automatically from month 2. Note: if both charges share the same start date, the tenant will be billed twice for month 1.
